  • If there is no Cancellation Link available, your policy type may not be eligible for cancellation. Reach out to [email protected] instead. 

Cancellation Stipulations

Here are some important stipulations to consider:

  • Annual Policies: Annual policies can be canceled at any time. However, if the policy term has already begun, a minimum amount of $470 will be withheld from any returned premium. Any amount above that will be pro-rated based on the date of the cancellation request.
  • Short-Term Policies: Short-term policies can only be canceled if the policy term hasn’t yet begun.
  • Certificates of Insurance: If short-term or annual policies have Certificates of Insurance issued, no rental equipment can have been picked up, and the insured must show proof of cancellation of the rental.
  • Refund Process:
    • If your cancellation refund is processed within 4 months of your original purchase, the refund will be applied back to the credit card you used to purchase coverage.
    • If your cancellation refund is processed after 4 months of your original purchase, the refund will be sent via check to the address on file within 45 days of cancellation.

For a General Liability policy, the certificate holder is listed as an Additional Insured, protecting their interests under your policy.

Add ‘Theft from Unlocked Vehicle’ Coverage

What is this Optional Coverage?

When equipment is stolen from a vehicle, a police report is required to submit a claim for the stolen gear. Police will look for signs of forcible entry, such as broken glass or a bent door panel. If there are no signs of forcible entry, it is assumed the vehicle was left unlocked. This scenario is excluded from coverage under a standard policy unless you add ‘Theft from Unlocked Vehicle’ coverage.

Per the terms of this policy, any theft from a vehicle without signs of forcible entry is considered theft from an unlocked vehicle.

Since accidents happen and many rental houses require this coverage before releasing gear, we highly recommend adding it to your policy. However, it is ultimately up to you to decide how often your gear is in a vehicle and how diligently it is secured when left unattended.

Adding ‘Theft from Unlocked Vehicle’ Coverage at Policy Purchase

  1. Complete Your Application: During the insurance application process, you will be asked if you wish to cover your equipment if stolen from an unlocked vehicle.
  2. Select YES: Click YES to add this coverage.
  3. Additional Premium: An additional premium will be applied to your quote.
  4. Coverage Activation: This coverage will apply to your policy for the entire policy term once you complete the purchase.

Overview

While all policies include coverage for accidental water damage from events like rain, floods, or spills, coverage is limited for equipment used on boats, barges, cruises, or other water vessels, and for equipment used underwater. To ensure your gear is protected in these scenarios, you need to add ‘Water Use’ coverage.

Without this endorsement, there is no coverage for equipment on boats, barges, cruises, or other water vessels, whether it is damaged, stolen or goes overboard. Additionally, for filming underwater, your gear must be in special underwater housing, and you must have this endorsement for coverage to apply.

Adding ‘Water Use’ Coverage at Policy Purchase

For Rented Equipment

  • No Need to List Specific Equipment: Simply add the value of the equipment you wish to cover for use afloat and underwater.
  • If prompted to add gear, you can input ‘Rented Equipment’ with the total value of all rented gear you wish to cover under this endorsement.

For Owned Equipment

  • List Specific Gear: Provide details such as make, model, replacement cost, and serial number (if applicable).
  • Application Process: When asked, “Do you wish to cover your equipment for water use?”, answer yes. The additional premium will be added to your quote, and you will be prompted to schedule the equipment.

Adding ‘Water Use’ Coverage After Policy Purchase

  • Coverage Value: The value of equipment you wish to cover with Water Use Coverage must be included in your policy limit.
  • Policy Limit: Your new underwater equipment limit cannot exceed your policy limit. You may need to increase your policy limit before purchasing this endorsement.
  • Underwater Housing: Must be used for underwater shoots and listed in your ‘Water Use’ Scheduled Equipment List.
  • Comprehensive Coverage: This endorsement covers all causes of loss or damage while afloat or underwater, including theft, accidental damage, loss, fire, etc.
  • Specific Listing Required: To ensure coverage while afloat or submerged, each item must be explicitly listed on your ‘Water Use’ Scheduled Equipment List. There is no blanket limit for ‘Water Use’ coverage.

Here’s how to request a cancellation:

1. Access Your Dashboard

  • Log in to your account on InsureMyEquipment.com and navigate to your Dashboard.

2. Request Cancellation

  • Find the link to request a cancellation and follow the prompts to initiate the cancellation process.
  • You’ll be prompted to provide the reason for your cancellation request.
  • Once submitted, your request will be reviewed.
  • If there is no Cancellation Link available, your policy type may not be eligible for cancellation. Reach out to [email protected] instead. 

Cancellation Stipulations

Here are some important stipulations to consider:

  • Annual Policies: Annual policies can be canceled at any time. However, if the policy term has already begun, a minimum amount of $470 will be withheld from any returned premium. Any amount above that will be pro-rated based on the date of the cancellation request.
  • Short-Term Policies: Short-term policies can only be canceled if the policy term hasn’t yet begun.
  • Certificates of Insurance: If short-term or annual policies have Certificates of Insurance issued, no rental equipment can have been picked up, and the insured must show proof of cancellation of the rental.
  • Refund Process:
    • If your cancellation refund is processed within 4 months of your original purchase, the refund will be applied back to the credit card you used to purchase coverage.
    • If your cancellation refund is processed after 4 months of your original purchase, the refund will be sent via check to the address on file within 45 days of cancellation.

Requesting Cancellation

If you need to cancel for any reason, please use the request link in your dashboard, even if you don’t think you may be eligible for cancellation or refund.

If a Certificate of Insurance contains incorrect address or company name information, your client can easily issue a new Certificate of Insurance with the corrected details.

How to Verify a Certificate of Insurance

  1. Email Source Verification:
    • The Certificate of Insurance will be sent via email from [email protected] or from our staff.
    • Our email domains include Heffins.com or InsuremyEquipment.com.
  2. First-Time Buyer Identification:
    • If the client is a first-time buyer, this will be indicated in the body of the email. In such cases, refer to our ‘Fraud Prevention Guidelines’.
  3. Opening and Checking the Certificate:
    • Open the PDF document of the Certificate of Insurance.
    • Verify the following details:
      • Your client’s information.
      • Policy start and end dates.
      • Limits of insurance (found on page 2).
  4. Certificate Validation:
    • Visit our verification portal.
    • Enter the unique code found on the last page of the Certificate of Insurance.
    • If a duplicate certificate appears, it is valid.
    • If you receive an error message, contact our staff immediately, as the Certificate of Insurance may be altered.

Additional Information

  • Policy Expiry:
    • Policies expire at 12:01 AM on the expiration date.
  • Unattended Vehicle Exclusion:
    • None of our policies include an ‘Unattended Vehicle Exclusion’.
  • Theft from Unlocked Vehicle Exclusion:
    • Some policies exclude coverage for ‘Theft from an Unlocked Vehicle’.
    • If this exclusion is applicable, it will be stated on the last page of the Certificate of Insurance.
    • Clients can add this coverage through their dashboard if required.
  • Deductibles:
    • Deductibles are listed on page 2 of the Certificate of Insurance.
    • Separate deductibles apply for international claims and claims arising from theft from a vehicle. These will be indicated on the Certificate of Insurance.
  • Coverage Limits in Mexico:
    • There is a $25,000 maximum limit while in Mexico, unless otherwise specified on the Certificate of Insurance.
  • Additional Insured and Loss Payee:
    • To be listed as an additional insured and loss payee, the client must purchase liability coverage.
    • You will receive two separate Certificates of Insurance (one listing you as Loss Payee and the other listing you as Additional Insured). This is standard procedure.
